How To Review Employee Leave Balances
Use the HIP system to view employee sick and vacation balances on the Review Absence Balances screen or by forecasting on the Create and Maintain Absence Requests screen.
REVIEW EMPLOYEE LEAVE BALANCES THROUGH THE REVIEW ABSENCE BALANCES SCREEN
Review employee leave balances as of the last payroll process that was finalized.
STEPS
1. Logon to the HIP portal and navigate to the NavBar in the upper right-hand corner of the screen.
2. Click on the compass icon.
3. Navigate to Menu > Global Payroll & Absence Mgmt > Payee Data > Maintain Absences > Review Absence Balances.
4. Enter the EMPL ID and click the “Search” button.
The Review Absence Balances screen will default to the Current Balance tab where you will see the employee’s sick and vacation balances up through the time the last payroll process was finalized.
REVIEW EMPLOYEE LEAVE BALANCES BY FORECASTING ON THE CREATE AND MAINTAIN ABSENCE REQUESTS SCREEN
Before submitting a new leave request or changing an existing one, forecasting is recommended to determine the employee’s eligibility to take leave.
STEPS
1. In this case, a vacation request for 40 hours from 10/24/22 – 10/28/22 was entered on the Create and Maintain Absence Requests screen. Prior to submitting, the leave request was forecasted.
2. To view forecasting results, click on the “Forecast” tab of the Absence Requests section. In this case, we can see the employee has an available vacation balance of 28 hours and the Forecast Value is “INELIGIBLE”. This means the employee does not have enough to cover the 40-hour vacation request from 10/24/22 – 10/28/22 and this request must be adjusted.
For a more detailed view of an employee’s sick, vacation and comp time balances, it is recommended to run the query HIP_TL_EE_BAL_BY_PERIOD. Searchable by EMPL ID and date range, this query provides details for the defined period such as sick, vacation, donated vacation, comp time balances, earnings and takes.
