How To Submit Partial Day Leave Requests For Your Employees

Use the HIP system to submit a partial day leave request on behalf of your employees through the Create and Maintain Absence Requests screen.

STEPS

1. From the Absence Requests section, click on the Partial Days tab. 

a. Begin by entering the EMPL ID and EMPL RCD, then add the date range for the absence request along with the Absence Name. 

b. All Days – Click the check box under the All Days column if the employee is taking consecutive partial days off for the duration of their request. 

c. Start Day Hours – If the employee is taking partial leave on the start day of their leave, enter the amount of hours under the Start Day Hours column. 

d. Start Half Day – If the employee is taking a half day of leave on the first day of their request, click the check box under the Start Half Day column. 

e. End Day Hours – If the employee is taking partial leave on the end day of their request, enter the amount of hours under the End Day Hours column. 

f. End Half Day – If the employee is taking a half day of leave on the last day of their request, click the check box under the End Half Day column.

Partial Day Options Explanation Action
All Days Employee taking partial consecutive days off for the duration of their request. Click the checkbox.
Start Day Hours Employee taking partial day off on the first day of their request. Enter the amount of hours in the text field.
Start Half Day Employee taking half day off on the first day of their request. Click the checkbox.
End Day Hours Employee taking partial day off on the last day of their request. Enter the amount of hours in the text field.
End Half Day Employee taking half day off on the last day of their request. Click the checkbox.

2. Before clicking the “Submit” button, you can use the fields in the Submission Options section to determine how the system processes the absence events. 

a. Override Forecast Eligibility – During forecasting the system will determine if the employee has enough absence balance to cover their request.  This is based on existing absence requests the employee has and their entitlements.  If the employee does not have sufficient absence balance, their absence request will need to be adjusted or the employee risks incurring LWOP. NOTE: It is not recommended to click this box. 

b. Submit Option – Route absence requests to the employee’s supervisor for approval or select approve automatically
