Use the HIP system to request leave on behalf of your employees from the Manager Self-Service (MSS) screen.
STEPS
1. Login to the HIP portal and navigate to your system role in the upper left-hand corner.
2. Click on the Manager Self Service option from the drop-down menu and from the MSS screen, click on the Team Time tile.
3. From the Team Time screen, click on the Manage Absences option from the menu on the left-hand side of the screen.
4. A list of your employees will appear, click on an employee to request an absence on behalf of. NOTE: If you do not see an employee on the available list, click the carrot icon next to the Find Team Member header to expand the search options. Additionally, if your direct report also has employees that report to them, they will have a clickable link below their Name/Job Title that will take you to an available list of those employees to select from as well.
5. After selecting an employee to request an absence on behalf of, enter the Start/End Date of their absence request.
a. Click the +1 Day button to move the end date of the absence request 1-day forward at a time.
6. Select an Absence Name from the drop-down menu.
7. Select a Reason why the absence was taken from the dropdown menu. NOTE: This is for informational purposes only and available reasons depend on what was selected in the Absence Name dropdown menu.
8. Click the Partial Days tab to enter partial day absence request details.
9. The system will calculate and display the Duration of the absence request in hours. You do not need to modify this value.
10. Click the Check Eligibility link to run the forecasting process to determine if your employee is eligible to take leave. NOTE: If your employee is not eligible (does not have sufficient leave balance) to make a request, you will need to work with them to update the hours/dates or risk the possibility of the employee incurring Leave without Pay (LWOP).
11. Enter any Comments as a brief explanation for the request.
12. Click the Add Attachment button to prompt the File Attachment window to appear and add backup documentation to your employee’s request if needed. Attachment details will appear under the Attachments section to review. To view an attachment, click on the attachment name (blue link). To delete an attachment, click on the trash can icon. NOTE: Do not attach any documents that contain Personally Identifiable Information (PII).
13. Click the Submit button when you are ready to submit the absence request.
