How To Make Changes To Employee Leave

Use the HIP system to cancel or pushback leave requests on behalf of your employees from the Manager Self-Service (MSS) screen.

HIP has the flexibility so that employees can make changes to their leave, your local Leave Keeper and supervisors can also make changes too.  Here’s some guidance on how to handle changes to employee leave, depending on the status or circumstances of the employee’s request.  NOTE: These diagrams are written from the perspective of the supervisor initiating the transaction, as opposed to the employee or their Leave Keeper.

CANCEL LEAVE REQUEST FOR YOUR EMPLOYEE

Supervisors may cancel a previously approved leave request for an employee in order for changes to be made.  Once the leave request is canceled, the employee or their Leave Keeper may edit the canceled request and resubmit it for approval again.

STEPS

1. Login to the HIP portal and navigate to your system role in the upper left-hand corner.

2. Click on the Manager Self Service option from the drop-down menu and from the MSS screen, click on the Team Time tile.

3. From the Team Time screen, click on the Cancel Absence option from the menu on the left-hand side of the screen.

4. A list of your employees, current and retired/terminated will appear.  Click on an employee or on their Directs/Total icons to select from their direct reports to employees to change a leave on behalf of.  NOTE: Active employees’ names will be bold, inactive employees’ names will not be bold.

5. After selecting an employee to change a leave on behalf of, select the leave to change from the list of results.

6. You will see the details of the leave request you want to cancel for your employee.

7. If you scroll down, select the option “Not Valid” from the *Cancel Reason drop-down and enter a comment for reference if needed.

8. Scroll back up to the top of the screen and click on the “Cancel” button in the upper right-hand corner to cancel the leave request on behalf of an employee.

PUSHBACK LEAVE FOR EMPLOYEE

Supervisors may pushback a pending leave request in order for changes to be made.  After pushing back the leave request, the employee or their Leave Keeper may edit the request and resubmit for approval.

STEPS

1. Login to the HIP portal and navigate to your system role in the upper left-hand corner.

2. Click on the Manager Self Service option from the drop-down menu and from the MSS screen, click on the Approvals tile.

3. A list of your pending approvals will appear, click on the leave request you would like to review.

4. In the Absence Request screen, you will be able to see the details of the leave request and any comments.  If the request needs to be edited, click on the “Pushback” button in the upper right-hand corner to push the request back to the employee to make necessary adjustments and resubmit.

5. The HIP system will allow you to add any additional comments and then submit the request to pushback to your employee.

6. You will be taken back to your Pending Approvals, notice the pushed back leave is no longer showing in your list.
