HIP Time and Leave flags employee timesheets as “exceptions” when information is entered into HIP that may be incorrect, or be contrary to the State’s policies or procedures. These exceptions help the supervisor and their department prevent mistakes in timesheets. Allowing exceptions is different than approving time to be paid.
There are three types of exceptions that the system generates:
Supervisors receive notifications directly from HIP when an exception occurs, and a link will take the supervisor to the record for review. Each exception must be either 1) resolved by having an employee correct their timesheet and re-submit it for approval again, or 2) allowed by the supervisor, as appropriate. Exceptions listed on the “fix” list require correction before proceeding to payroll. Supervisors may seek the assistance of their timekeepers with their “fix” list if necessary.
Exception Table: The place where any new exceptions generated exist.
Payable Time: Time that has been validated and is ready to be paid.
The following is a list of HIGH and LOW level exceptions in HIP and what a supervisor or other supporting employee (e.g., timekeeper or department payroll staff member) should do about them:

Step 1: Timekeeper navigates to the Time and Labor WorkCenter tile and then to Exceptions. Click on Employee Selection, and then the Get Employees button to fetch all exception records.
Step 2: Timekeeper clicks on the Details tab. To the right, a column for “Explanation” is visible so the timekeeper can click on the link and see a detailed explanation of the exception.
Step 3: Timekeeper determines which may be allowed, selects the appropriate boxes, and clicks on the Save button.
Step 4: (If exceptions are allowed) Supervisor approves the timesheet by navigating to their Approvals tile.
