Kiosk Program Options for State Agencies:         

As part of the Enterprise Payroll and Time & Attendance Modernization (HawaiiPay) Project, the State of Hawaii is launching a new “Hawaii Information Portal” that will provide various payroll functions and services for payroll offices and employees.  Through the Hawaii Information Portal employees will be able to access Employee Self-Service (ESS) and can do the following:

  • Access their pay statements
  • Access their W2s (effective January 2019)
  • Add/change their address for payroll purposes
  • Manage direct deposits, i.e., bank assignments and credit union deductions
  • Update federal and state tax forms/withholdings
  • Manage emergency contact information

It is recommended that all Jurisdictions, Departments, and Agencies (“Agencies”) set up a kiosk(s) for employees who do not otherwise have access to a computer to perform their job functions.

The HawaiiPay Project has received requests for guidance in setting up a kiosk.  Hence, the kiosk program has been developed to provide options for State employees, who may not have regular access to a State computer on the State’s network.  Kiosks can be located anywhere in your Agency to provide employees access to a workstation such as an Administrative or HR office.

Important Notes: Kiosk access is not required for employees who use State computers on the State’s network to do their jobs, as they will have access to Hawaii Information Portal through the computer they use on a regular basis. A kiosk will need to be on the state network (via your agency’s routine security protocol) to allow the employee access to ESS.

  • Option #1: – Agencies may use their own existing computer(s) to be designated as a kiosk for their employees.  These computers will be used solely for ESS or for other purposes such as on-boarding new hires. The kiosk will provide their employees access to ESS.
  • Option #2: – Agencies also have the option to purchase a new computer (see the IT specifications for a laptop or desktop provided by ETS) to use as a kiosk for their employees.  With this option, ETS will image the new computer for the agency and install user settings on the  computer.  The settings will include access to ESS only and sessions that expire (timeout) without activity.
  • Option #3: – Agencies may identify personnel who will act as a point-of-contact for employees who need to access ESS.  These specific individuals will be responsible for allowing employees who do not have access to a state computer and/or the state’s network, to update their personal detail information, direct deposit information, and print critical documents such as W2s and pay statements.
